How to choose an LMS: test five everyday tasks

Choose an LMS around the work it must support. Compare content creation, audience access, the learner experience and follow-up with one practical scenario. This guide helps you prepare requirements and assess a demo.

Which type of learning platform suits your organisation?

Begin with audiences and goals. Employee onboarding needs a different workflow from customer training or required safety courses. An LMS organises training, access and completion. An LXP emphasises discovering relevant learning. Ask how these approaches work together for your actual audience, rather than comparing labels alone.

  • Document required courses, voluntary learning and classroom activities.
  • List audiences, organisational units, languages and mobile needs.
  • Separate essential requirements at launch from later development.

How do you compare LMS options fairly?

Give each supplier the same sample content, fictional users and five tasks below. Ask them to identify standard functionality, selected modules, configuration and additional development. Record what worked, what required help and what remains to be verified.

An easy-to-use LMS must work for educators, learners and managers. Test these roles separately; a polished administration demo alone does not show the whole experience.

CREATE

1. Create a simple course

Ask an educator to build a short course using your own material: a text, a video and a knowledge check. Preview it as a learner before publishing. If AI creates a draft, check facts, language and questions before approval.

What to check

Can your educators update the course themselves? Are navigation and questions clear?

ASSIGN

2. Assign training to the right audience

Use a fictional organisation with two teams. Give one team access to an introduction and verify who receives it. Job role describes what a person does; platform permissions determine what they can administer. Check the group or assignment rules that connect the audience to training.

What to check

Does the right person get access? Can another team be excluded? What happens when someone changes team?

COMPLETE

3. Complete the course on mobile

Sign in as a learner on a phone, open the assigned course, continue through the lesson and complete the knowledge check. Test text, video, buttons and progress with the actual content you intend to use.

What to check

Can people find the next step without help? Is content readable? Does completion reflect the course requirements?

FOLLOW UP

4. Follow up unfinished training as a manager

Switch to an employee manager responsible for one team. Open the employee and course progress views, identify a person with training remaining and plan follow-up. Test the same view with a manager who has a different responsibility area.

What to check

Can the manager see the relevant employees? Are people outside the responsibility area excluded? Is completed training distinguishable from an assignment status?

VERIFY

5. Check a diploma and export a report

Complete a course with an assigned diploma template, then open the PDF diploma. Select the relevant course, group and period for reporting. Export only with a role that has the required export rights; in Analytics, viewing personal data is a separate permission.

What to check

Does the diploma belong to the right person and completed course? Does the report match the selection? What does a role without export rights see?

Check integration, access and the proposal before deciding

SSO handles sign-in, user synchronisation updates accounts, and a content import moves training material. These are separate workflows. List which system owns each piece of data, who maintains the connection and what happens when an employee leaves.

Request a proposal that separates the selected modules, implementation, integrations and ongoing services. Agree on acceptance criteria for the five tasks and on who owns course updates and follow-up.

Use your own scenario in the demo

Tell us about your audience, an example course and the follow-up you need. We can walk through the five tasks and identify the modules and configuration your setup needs.
